Re: [Cancer Registrar Group] Abstracting productivity standards

Hello,
I work in a Cancer Registry where I am Manager for a registry comprised of
several hospitals of varying sizes. We were evaluated by a National Group,
Hunter, and had a "standard" imposed upon us. Taking all activities into
consideration we are allowed 4.6 worked hours per case. That means if your
registry abstracts 160 cases in a month, you are allowed a total of 736 employee
hours that month. Likewise 200 cases would equate to 920 worked hours. This
includes everybody, Manager, follow-up clerk, etc, performing all activities
including managerial, casefinding, follow-up, conferences, etc.

This is how my budgeted FTE's are calculated. If I know that I will have 1,975
cases based on historical data and reasonable expectation, then I can budget for
9,085 worked hours, or 4.36 FTE's. In addition, you expect some FTE's to equal
paid time off, sick time, etc. to reach maybe 4.9 or 5.0 total FTE's. Then,
monthly, based on cases reported, our allowed hours are calculated and we must
remain within this standard.

In the beginning, I was somewhat resistant, but have found it to be a pretty
fair standard, since it address all activities within a registry based on case
load, and not just "abstracting time". I hope this is helpful to you.

This is on a day when all 8 hours is spent on abstracting only. Do you
have an enforeced quota that has to be met daily and if so, what is the
number of abstracts required? Our employer is requiring us to complete
7.5 abstracts daily for an 8 hour day. They are monitoring us on a
weekly basis and we have been informed that we will be subject to
corrective action and discipline if we cannot achieve this quota. We
feel this is unreaslistic. Does anyone have any input or help?

Well stated Theresa. Also, cancer registrars are NOT just coders in the sense of reviewing one record for reimbursement, as 'inpatient' coders do. We are ...
